Field Reservation Process
*** Our facility is used for tournaments nearly every weekend. We do not know the weekend tournament schedules until Tuesday or Wednesday of each week. Any field reservations scheduled for the weekend are subject to cancelation if a tournament runs past its scheduled time (Walnut Creek is not responsible for tournament management.) ***
CHECK THE FACILITY CALENDAR PRIOR TO MAKING YOUR REQUEST
For Walnut Creek Baseball Rec. League Teams (from March-June)
1. Look at the facility calendar for an open time slot on a field for your age division:
5U: Games on field 3, 5 or 8: Practices on fields 1, 3, 5 or 8
6U: Games on field 8: Practices on fields 1, 3, 5 or 8
7U: Games on field 1: Practices on fields 1, 3, 5 or 8
8U: Games on field 3: Practices on fields 1, 3, 5 or 8
9U: Games on field 5: Practices on fields 1, 3, 5 or 8
10/11U: Games and Practices on field 2
12/13U: Games and Practices on field 4
14/15U: Games and Practices on Field 6
2. After you find an open 60 minute or less time slot, contact your Division VP by email. He or she will be able to reserve the field for you. Identify your team, your team age division and your name. Include the date and time you are requesting. Typically, coaches reserve both a field and then a batting cage the same day. (practice for an hour on the field, then for a half an hour right after practice in the cage) Please don’t use the fields for batting practice. Use the cages for that. We have 4 batting cages. (#1 and #2 by Field 6 and #3 and #4 between fields 1 and 2)
3. The Division VP will respond regarding your request and confirm your request or advise you of other options.
4. Once the Division VP has posted your slot on the Facility Calendar on our website, the slot is officially yours.
5. No more than 1 field reservation in any 7-Day Period will be granted unless specifically authorized by your Division VP.
6. Requests for field reservations can be made beginning 10 days prior to the requested date.
7. Cancelations must be received to your Division VP at least 48 hours prior to your confirmed field reservation. Failure to cancel in a timely manner will result in your team forfeiting their field reservations for the remainder of the season.
For All Other Teams (CBL, Tournament, Softball, 2nd Season)
1. All field reservations are for 60 Minutes and cost $40 for fields #1-5 and field #8. Cost per reservation for Fields 6 and 7 is $50.
2. Contact the Division VP listed below for the field you are requesting to reserve. Identify your team, your age division and your name. Include the date and time you are requesting.
3. The Division VP will respond regarding your request and confirm your request or advise you of other options.
4. Once the Division VP has posted your slot on the Facility Calendar, you then have 24 hours to submit the Field Rental Online Form and payment via our website. WE DO NOT ACCEPT CHECKS OR CASH FOR FIELD RESERVATIONS.
5. Once your payment has been processed your field reservation on the calendar will be switched to a "Confirmed" status and it is officially yours.
6. No more than 1 field reservation in any 7-Day Period will be granted unless specifically authorized by the Division VP you contacted.
7. Requests for field reservations can be made beginning 7 days prior to the requested date.
8. Cancelations must be received by Walnut Creek at least 48 hours prior to your confirmed date. Failure to cancel in a timely manner will result in forfeiting your field reservation and your paid fee.
9. Refunds/Credits will only be provided if Walnut Creek Baseball closes the facility due to inclement weather or schedule changes specifically made by Walnut Creek Baseball. If the fields are open when your field reservation is scheduled to begin, no refund will be issued -- regardless of whether your reservation time is interrupted due to weather.
10. TEAMS ARE NOT ALLOWED TO MOVE MOUNDS OR BASES. IF IT IS DISCOVERED THAT MOUNDS OR BASES HAVE BEEN MOVED, A $200 FIELD RESET FEE WILL BE CHARGED TO YOUR CREDIT CARD.
